Appointment policies

Unlike many medical providers, a therapist can only schedule one person or family in one appointment slot, typically an hour. When you make an appointment, you are asking the therapist to reserve that time just for you. Most therapists do not have many times open for new clients because ongoing clients occupy reserved times. Most therapists see a limited number of clients. Most clients are seen at the same time each week. It makes scheduling simpler for everyone and assures clients that they can be seen on a regular basis.

You should expect to put your appointment at the top of your list of scheduling priorities. If you have a scheduled appointment and must cancel, please advise the therapist at least three business days in advance. If you are unable to provide advance notice, you should expect to pay for the time you have reserved. If you want to reschedule, it is important not to cancel again.

Sometimes prospective clients assume that since therapists show empathy to clients, that they will ignore the financial requirements of providing services but this is not practical or good business practice. Be mindful of the time you are requesting and be clear about how you will handle payment of your fees. In our office, payment is accepted in cash, credit or debit card. Some Blue Cross policies and some Aetna & Cigna policies can be billed directly.

Plan to arrive approximately on time for your appointment so that you can complete paperwork.

Turn off cell phones and electronic devices prior to your session.

You can ask questions about your provider's expertise, policies and problem-solving approach but you should not expect to ask questions about the provider's personal life. It is important for providers to provide you with a neutral environment in which the focus is on you and your concerns.

If you are uncomfortable with any aspect of arrangements with the provider it is important to bring this up so that misunderstandings are avoided.

We will be glad to provide a receipt for you to turn in or to mail your claim in for you if your insurance company pays for certain services however we have no obligation to see you without charge while you determine your insurance coverage. If you have internet access to your insurance provider, you may want to download a copy of your benefit descriptions for outpatient mental health services but most insurances give no guarantee of payment.
